Schedule Your Calendar

Planning Your Annual Calendar

Now that you have made a list of the activities that you would like to plan and put them in the order of priority you need to put them on calendar planning sheets.

Start with the annual activities, then quarterly activities, then monthly activities and then the weekly activities. 

Take twelve sheets of paper one for each month of the year.  Divide the monthly pages into the proper number of weeks..

  1. Youth_Canoeing_11.jpgFirst put your Annual Activities in the month that you plan to schedule them. (Youth led revival, Youth week, Youth Camp, Youth back to school emphasis, Valentine Banquet, Awards Banquet, Christmas or New Years Party, Fall Festival for youth and children as a substitute for Halloween, Youth Week of Study - Vacation Bible school, Beach Trips, State Youth functions, annual rallies and seminars, ect.)
  2. Next, list your Quarterly Activities, (Retreats, Parties, Fellowships, Athletic leagues and teams, Dramas, Bible studies curriculum schedules, ect.)
  3. Next, List the Monthly Activities.  Many of these activities will be repeat activities. 
  4. Now, list all Weekly Activities - activities that meet each week.  List the repeating activities in the appropriate weeks.

   Below is a suggested list of activities to use as a guide.

    4. Spiritual Renewal Retreat
  8. Youth Banquet
  9. Parties
    1. New Year’s Eve
    2. Christmas
    3. Easter
    4. Back to School
    5. End of School
    6. Halloween party on Halloween night.  Do not use Halloween theme.
    7. Valentine
    8. St. Patrick’s Day
  10. After Game Fellowships
  11. Summer Fellowships
  12. Special Programs
    1. Vocal Ensemble
    2. Puppet Teams
    3. Mission Teams
    4. Christian High Adventure Club for older boys
    5. Athletic Teams – Team Sports for Boys and for Girls
    6. Drama Group
  13. Youth Trips
      1. Spring Break Camping Trip
      2. Summer Canoe Trip
      3. Fun Trip to Disneyworld or Adventure park
      4. Youth Snow Skiing Trip
      5. Summer Youth Mission Trip
      6. Summer Backpacking and Camping Tri
      7. Trip to a Baseball Game

Once you have all of the activities listed by dates and your calendar is complete, you need to coordinate your completed calendar of activities with other programs of your church or organization to make sure there are no duplications or conflicts. 

Once you have your calendar planned you need to meet with the Pastor and share your calendar with him and get any input that he has for your program.
